Reservations & Seat Limits in the App

Reservations / Seat Limits: 

As an admin you can set a seat limit for any item in your agenda.  The attendee simply selects the "reserve seat" option on the session detail screen.  Each time an attendee reserves a see the number of seats available are decremented.  Once the seat limit is met, then attendees will no longer be able to reserve a seat for the session.  Attendees can remove a reserved seat, and by doing the filled seats total is decremented by and one more available seat is added to the available seat total.  This feature is useful if you have limited seating for popular sessions or activities.  This feature can also provide an accurate number for dinner reservations both on premise or outside of the venue.  Simply add the dinner to the agenda as a session, and enable seat limits. 

Adding Reservation / Seat Limit option to your Agenda:

 

 

  1. From your side or top navigation select Agenda > Display Settings
  2. From the Display Settings screen, scroll down:
    • Enable session Seat Limits needs to be set to YES
    • Maximum number of seats per user per session will have a default value of 1.  You can change this number if you would like each user to be able to reserve more than one seat.  For example, perhaps, the attendee will reserve one for self and one for a guest for a total of 2.  Whatever your maximum is per user enter this here this will be the maximum any user can set for any session with seat limits.
    • Can users reserve seats that are at the same time in different sessions? The default value for this setting is "No; seat reservations ARE mutually exclusive".  Meaning I can't reserve a seat for in two different sessions occurring at the same time.  If you would, like a user to be able to reserve seats for for session occurring at the same time then change the setting to "Yes; seat reservations are NOT mutually exclusive."
    • Show a Who's Going Session Favorite User List in the App.  The value default for this is "No, do not show the session favorite list."  Meaning that a list of users who have added the session to their personal schedule will NOT be shown on the session detail screen.  If you would like to show a list of those who have reserved seats for a session, change this setting to "Yes, but, only show for reserved seats, not general sessions."
  3. Once you have made all of your Display Setting changes, select the green "Update Display Settings" button at the bottom of the screen
  4. Now you have enabled seat reservations / limits for addition to your agenda!

Adding a Seat Limit to a Session

  1. You can include a seat limit when you Add a session to your agenda to do this select from the side navigation Agenda > Add.  NOTE: if you have uploaded your agenda sessions, then from Agenda > Manage Sessions, find your desired session.  Once you have located your session, select the edit action button (pencil icon) listed to the left of the session title.  
  2. Fill in the appropriate session settings and data as usual.  Note:  you can limit a session to specific teams or you can exclude specific teams, so if you only want Speaker to be invited to the Speaker Dinner, select the Speaker tam in the "Restrict to Team/s" section. 
  3. The bottom session setting is "Enable Seat Limit" change the value to "Yes."
  4. Once you enabled the seat limit in #3 above, now you will have a new setting appear "Seat Limit".  Simply type in the number of seats available for reservation in the field.
  5. Select the green "Add Session" button to save the session with seat limits.  If you are in the Edit mode, selection the green "update" button to save the changes and seat limit.  
  6. Repeat this action for all sessions with seat limits (requiring reservations)

Reserving a Seat in the App

Here is what it looks like to reserve a seat from the user perspective in the app.

  1. Log into the app and click on the Agenda icon
  2. Select the session you would like to reserve. Note: there will be a "ticket" symbol on the main session tile, see image.
  3. Click on the "Reserve Seat" button in the upper right corner. It will also show how many seats are remaining.
  4. Once you reserve a seat, the button will change to "Is Reserved" and the session will be added to the "My Schedule" icon. It will also display how many seats you are occupying. 
  5. If you would like to "unreserve" a seat, click on the button again. You will get a confirmation asking if you would like to release your spot for another users. 

View Reservations and number of Seats occupied

From the Agenda > Manage Sessions screen, the table can be sorted by Seats Available or Seats Occupied.   You may need to scroll right to see these table fields.  If they are still not visible, check to see if they are selected in the "Show / Hide Columns".  Tap the "show / hide columns" button at the top right of the table, then ensure seat limit and seats occupied are selected. Please see screen capture below for an example (sorted by seat occupied)

To see a listing of the users who have reserved seats, select the Session Favorited tab.  From the Manage Favorite screen you can view and download a list of those who have reserved seats, as well as see how many seats are reserved for each user. 

Click on the Per-Session Counts tab to view the total number of seats per session, see image below.  Clicking on the magnifying glass will take you to the session favorite screen for that session.
