Attachments - Event, Company, and Session

Attachments

You have the option to add attachments to your event, as well as link them to your sessions or companies. These can be handouts, slide show presentations, and external links. See below for instructions on how to upload them and link them.

Idea
Note: Speakers and Exhibitors/Sponsors can upload attachments via the Orange Portal for Speakers/Exhibitors/Sponsors. Click on the "User Portal tab" in the admin portal to access the settings.

To get started, click the tab labeled Attachments. The Attachments screen will have a table with your existing event and session attachments. Below is an example of this screen with further details

 

  1. Action icons to perform the following actions on existing event attachments: edit, remove, download and make active/inactive.
  2. Add a new attachment to the event’s attachments.
  3. Create Tags to categorize and filter your attachments in the app.
  4. Control your event attachment advanced settings.
  5. Internal link. This is your attachment's internal link.  Typically your attachments are found in the Materials section or Session profile on your app; however, you can link directly to an attachment from a static page or profile etc. For example, from a static page "App Graphics," I can create a link to the "ConferenceBeat Handouts" attachment in the above table.  I just need to copy the Internal link (#4 above) and paste as a link on the  "App Graphics" Static page.  I can add the link to the body of a notification as well.  For more details on linking to attachments, please search help for Link to an Attachment or Resource.

Add a New Event Attachment

To add a new event attachment, click the tab labeled Add New.

 

First, enter the name you would like displayed for the attachment. Then, select if you will be uploading the file or linking externally.

If it’s a file upload, click the Select file button below to locate and upload your file to the app. Accepted file types include PDF, DOC, PPT, and XLS. File size limit is 10 MB.

If it’s an external link, simply copy and paste the external link into the field below. Please remember to include the leading “http://” with your URL.

When finished, click the Add Attachment button at the bottom of the screen to save your changes. Your new attachment will appear under the general listing of the event’s attachments.

Tip: if the Attachment navigation item has not been added, go to Navigation in the admin portal to add it. Or you can link a navigation icon to a "specific attachment".

 

Assign an Attachment to a Session

To add an attachment to a session, you have two options in the admin area. From the Attachments section, you must first add the attachment (follow the instructions for adding an event attachment from above). Once the attachment is listed in the “Manage Attachment, select the Edit Action button.

 

From the tab named Sessions (below screen), you can assign the attachment to a session.

Assign an Attachment to a Session via the AGENDA Section

You can also add attachments to a session via the Agenda screen. To add a new session related attachment, you will want to have your session added to the app first. For assistance, please review our guide on the agenda.

After your session has been added, go to the Agenda tab and search for the session the attachment is for. Once you have found your session, click the attachments action icon next to the associated session.

Below is an example of the Agenda screen with further details.

 

In this example, we have searched for the session “Mobile Brand Image”. The highlighted action icon is Attachments, where you can add session related attachments. After you have clicked the Attachments action icon for the session, a list of existing attachments will appear in a table. You can edit, remove, or download these existing attachments from this screen, as shown in the example below.

 

To add a new session attachment, click the tab labeled Add New.

Attachment Advanced Settings

You also have advanced settings for the session attachment where you can add tags and restrictions. An example of this screen can be found below with further details.

 

 

  • Tags: tags help categorize session attachments. You can enter multiple tags for a single attachment by separating each with a comma. Existing tags will also appear below this section, which you can click to add.  Select and add existing tags first. 
  • Time restriction: If you want your attachment to only be available for a set time period, check Yes. Then, enter the open date/time and close date/time to set the availability schedule for your attachment. Selecting No will keep the attachment live in the event’s Attachments till you remove it/ make it inactive.
  • Team Restriction: If you only want certain teams to access the attachment, simply enter the name of the team or click to add existing teams from the list below. If you want your attachment available to all users, you can ignore this area.
  • Email and Download Restriction: Check No if you do not want users to be able to download and email the session attachment. Check Yes if you do want your users to be able to download and email this attachment. Use the Inherited Setting if you are unsure.
  • Hide from App listing?  If you do not want this attachment to appear in the app listing, check Yes, Hide from Listing.  If you want the attachment to appear in the app, check No, Show on listing.

 

Linking attachments to front-end navigation

At the event level of the admin portal, you have the option to add attachments to your event as well as link them to your sessions. These can be handouts, slide show presentations, and external links.

If you would like to link all of your attachments to the front-end of your application so that your users have access to all of them, then please perform the following steps:

Under Navigation, select Items (see below):  Your navigation icons will appear.  Select the icon you have chosen to use for your attachments.  In the example below, All Attachments is the attachments icon.

 

 

 

1.  Under “Menu Item Type,” select “All Attachments.”

Note: If you would like to link session attachments here instead, then please select “Session Attachments” under “Menu Item Type.”

2. Please click “save” and your menu item will now appear on the front end of the navigation section.

 

In order to link a single, specific attachment to the front-end of your application, please perform the following steps:

1.  Under "Menu Item Type," select "Specific Attachment."

2. Under "Please Select," choose the desired PDF file

3. Please click "save" and your menu item will appear on the front-end.

 

 

Permissions for Session Attachments

Given the appropriate permissions in the User Portal, speakers and exhibitors/sponsors may also have the option to add their own materials to their session/s.
