Evaluations


Evaluations are a great way to obtain feedback from your event goers. You can create two types of evaluations:

  • Event Evaluation: This group of questions pertains to the entire event.
  • Session Evaluation: This group of questions pertains to your sessions. Session evaluations will apply to ALL sessions you have selected to be evaluated, so the questions must be generic enough to apply across sessions.

First, to get to your app’s Evaluations, click the tab titled Evaluations from the admin portal’s navigation.

Below is a screenshot of the Evaluations screen with further details:

 

  1. Event evaluation

Determine if you want to build an event or session evaluation. Click the Event tab (#1) or the Session tab (#2) to start building the appropriate evaluation.

Creating an Evaluation


Follow the steps below to manually add each question to the evaluation. To upload a list of questions, see the section below "Upload Evaluation"

Instructions

If you would like to add instructions or details about a question on your evaluation, you can do so by adding a Note .  Select Note from the list of possible question types.  

Once you select Note, it will be added to the bottom of the list of questions.  Click on the edit button to add instructional text.  Use the up/down arrow on the left of the Note question to move it to the order in which you would like it to appear in the app. HTML formatting is accepted.

Instructional text boxes can be added anywhere throughout the evaluation, including in between questions.

Questions 

To create a question (in either event or session evaluation forms), simply select from the list of possible questions types listed at the right side of your screen.

Once you select the type of question:  Agree/Disagree, Rank 5, Text Input, Radio Button, Checkbox, Selection List, or Note; scroll down to the bottom of the list of questions to find your new question.  From there you may view, edit, duplicate, or delete the question.  You can also change the order in which the questions appear in the app by clicking on the up/down arrow located to the left of each question.

After entering all questions and/or instructions, please remember to select the "Save Changes" button at the bottom of the screen.

To delete ALL questions from your event level evaluation, click on "Clear Form" at the bottom of the screen.

PLEASE NOTE: These questions are for your event level evaluation. To edit your session level evaluation, please click the next tab titled "Session".



WarningWARNING: Editing a question during an event may cause your reports to display incorrect results.

Types of Questions

  • Agree/Disagree: will present the user with only these two response options
  • Rank 5: will automatically present the user with these response options: “1-Low,2,3,4,5-High”.
  • Text Input: will present the user with a blank text field into which he or she can enter any response.
  • Radio Button: will display all answers simultaneously and a user can select only one response.
  • Checkbox: looks and performs almost like the “Radio Button” list, but here a user can select more than one response.
  • Selection List: will display answers in a drop menu, from which a user can select only one response.
  • Note: will change the question into an instructional text box.

Once you have completed your event or session evaluation, click the “Save Changes” button on the bottom of the screen

Upload Questions

You can also upload all of your evaluation questions at one time.  An example upload file is available to use to put your questions in the correct format.  

 

  1. Select the type of evaluation you are uploading - event or session evaluation, a drop down menu will appear.  Keep in mind the same set of questions are used for all of the sessions at the event.
  2. Select the file to upload.  The file format must be CSV.
  3. Click the Upload CSV file button.

When you click on the Upload CSV file button, you will be presented with a screen to match the columns in your spreadsheet with the columns in the database shown in the screen shot below.

 

Once you have matched each column, click the Apply Column Matching button. 

The next screen will show you the results of the column matching.  When you click on each of the green buttons in the screen shot below, you will download a csv of the new, updated, rejected, or excluded records.  Once you are satisfied with the mapping, click the "Click Here to Complete Upload" button to finish uploading the questions. 

 

Once the upload is complete.  The following screen will be displayed showing a summary of the upload.


Event Evaluation Settings 

As shown in the figure below, you can manage the Questions, Settings, and Download Questions for an Event Evaluation. Click on Evaluation > Event > Settings.

  1. Questions: where you add, edit, reorder, and remove questions for your evaluations.
  2. Settings: where you provide a title, directions, and optional external link for your evaluations. By default the event evaluation isn't available to complete until after the event starts, but this can be changed in settings. Session evaluations can be set to open early in session settings as well. By default the session evaluation isn't available until the start of the session.
  3. Download Questions: where you can download the current questions into a spreadsheet.
  4. Title: The name of your evaluation.
  5. Directions:  Provide detailed instructions for your evaluation.
  6. Alternate Evaluation Link:  If you already have an evaluation that you would like to include in the app, you can add an external link to your evaluation here.  Simply insert the full url, including the protocol (e.g. http://).  Please note: If your evaluations are external links, any evaluation submissions will not be recorded in the app.
  7. Evaluation Availability:  Control whether the evaluation is always open or only after the start of the event.
  8. Instructions when General Evaluation is not yet available*:  If the evaluation is not yet available, provide detailed information here.
  9. Active*:  Determines whether the evaluation appears in the app.

 

Session Evaluation Settings 

As shown in the figure below, you can manage the Questions, Settings, and Download Questions for a Session Evaluation. Click on Evaluation > Session > Settings.

  1. Questions: where you add, edit, reorder, and remove questions for your evaluations.
  2. Settings: where you provide a title, directions, and other session specific settings.
  3. Download Questions: where you can download the current questions into a spreadsheet.
  4. Title: The name of your evaluation.
  5. Directions:  Provide detailed instructions for your evaluation.
  6. Evaluation Availability:  Control whether the evaluation is always open or only after the start of the session, or after the start of the event which may be prior to the start of the session.
  7. Instructions when Session Evaluation is not yet available due to Event Start:  If the evaluation is not yet available, provide detailed information here. 
  8. Session Evaluation Sort Order:  Control the sort order in which the Session Evaluation appears.
  9. Instructions When Sorted in Agenda Time Order:  Any special instructions for when the session evaluations are sorted in Agenda Time order.
  10. Active*:  Determines whether the evaluation appears in the app.

 

This is where you can control the settings for evaluations for a Session.
