ConferenceBeat Scanner (CBS) - instructions for attendance/CEU tracking

CB Scanner – Session/Event Scanning Instructions

WarningImportant note: permissions to access the app must first be established in the CB Menu Builder. Please see the help video "CB Scanner Menu Builder Instructional Video " for more information

Step 1: Install the ConferenceBeat Scanner app (CB Scanner)

Step 2: Login

 

  1. Your first time opening CB Connect, you will be greeted with a request to access your device camera. This is for the scanning functionality.

    YOU MUST GRANT ACCESS TO THE CAMERA to use the APP
  2. Login screen: Sign in with your event app email and password.
     
    Warning
    Important: You will need to complete login to the event app prior to logging into the Scanner app.

If using on-site badge printing a secure log in QR code may print with your badge. If so, you can use the QR code to log in.

Once logged in, you will be presented with a list of events.  Select the event.

Step 3: Select Session Scan or Event Scan

As a member of the Scanning Team, you will see the options available for scanning. Such as “Scan Session (2)”, “Scan Event (1)”, "Kiosk Control" (3)

Important note: If you make updates to the agenda during scanning, you will need to go back to the event list (home) and click refresh, to pull in the updates.

  

After clicking on “Scan Session”. You will see a list of sessions. Select the correct one from the menu.

Step 4: Scan the QR Code 

Scan the QR code on the attendee’s badge and click the “confirm” button to confirm check in. 

The same process is followed for check out. To change the check in mode from check in to check out, click the toggle at the top of the screen. If check out is disabled in the portal, you will not be able to select it.

Scan History can be viewed by clicking the “scan history” button at the bottom of the screen. Scan history can also be viewed in the admin portal by going to CB Connect > Scan History

Warning
Note: if you select the "kiosk button" at the bottom of the screen, it will launch the device into kiosk mode. This mode will check users in/out based on settings and time of the session. In order to exit kiosk mode, you will need to tap the "exit" button at the bottom center of the screen. Type in your admin credentials or the device log in information to exit and get back to the session selection menu.

Kiosk Control (3) allows you to change (retarget) connected devices to a different session

•    First launch one of the devices into kiosk mode from session or event scanning.
•    Then, click on "kiosk control" or "kiosk admin"  (image (3) above) and you will see a list of connected devices
•    Select the device to change. Then, choose retarget (to choose another session) or turn of kiosk mode.
•    If retargeting - the device will update and you can begin scanning in the new session
•    If turning off kiosk, you will need to log back in or select a new session from the device directly.
•    Important notes:

  • To exit kiosk mode - you MUST turn it off via Kiosk Control (Kiosk admin) or log out of the device with the device log in credentials (person who is logged in).
  • You can not select "check in or check out" while in Kiosk. The system will automatically check the user in or out based on the time of the session and "check in/check out" settings in the admin portal.

The camera can be flipped for front facing scanning and you can launch the device into Kiosk mode (note: only admin in the event will be able to unlock it from kiosk). Attendees will then scan their badges as they enter and leave the room. The will select the "confirm" button to ensure the check in/out was captured (see image below).

Processed scans can be found in the device under "Scan History" or in the admin portal by going to CB Scanner > Scan History. Or to view the "check ins/outs" for CEU you can go to Continued Ed > Check in > Session Check ins. Continued Ed > User History will show total credits earned.
