Onsite Badge Printing Tips for success

Tips 

To ensure your next event's registration and check-in process runs smoothly and your participants have a great experience, follow the below tips for printing badges onsite.  

1) Early Kiosk Setup

Setup and Test all of your printer kiosks at least one (1) hour prior to registration open time. If you have a large number of printers even earlier is better.  This ensures attendees aren't waiting in a queue.  This also gives you an opportunity to complete the setup in a stress-free environment.  
Steps for kiosk assembly and Printer Tablet Setup
  1. Open the Badges app.
  2. Connect USB cables and power on printer.
  3. Attempt to print.
    1. If not in kiosk mode:
      1. Tap print button → Refresh → grant permission → select your printer.
      2. Retry printing.
    2. If in kiosk mode:
  4. Attempt a test badge print.

2) Connect Tablets to Printer (do not charge) during printing operation

  1. Do not charge tablet and connect to printer at the same time. 
  2. Choose one: Printer connection OR charging.
    Warning
    Simultaneously charging while printing will cause less than optimal printer operation. 

3) Keep Tablets Charged 

  1. Fully charge all tablets before each day of the event.
  2. Battery life: about 6 hours of kiosk operation. If a tablet battery runs low, remove tablet from printer and charge tablet during slow traffic. 

4) You must be connected to Wi-Fi to configure the Tablet's Badge App

  1. Kiosk mode works without Wi-Fi (badges will still print BUT Wi-Fi is necessary for badge configuration).
  2. Without Wi-Fi:
    1. Red warning bar: "Network connection is not available" appears at the top of the screen.
    2. No reporting back to the Results at Hand portal.
    3. No badge tracking available.
    4. See troubleshooting above to get back online.

5) Each printer tablet has a Kiosk Unlock Code.

  1. This unlock code can be found in the "launch kiosk" tab of the configuration screens or in the admin portal by going to Badges > Printer Devices

  2. You will need to exit kiosk mode at the end of the day or the beginning of the next day to re-configure the tablets/connect to the printer. 
  3. You may need to exit kiosk mode if the printer/tablet loose connection or are unplugged/moved during the event.
  4. To exit kiosk mode, click on the "exit" button in the upper right corner of the tablet. 
    1. Type in the "device specific" code or the "universal" unlock code and tap "unlock"
    2. Once unlocked, you will be taken back to the first step of the configuration menu. Walk through each tab and re-launch the tablet into Kiosk Mode


  5. Idea
    The universal unlock code was included in the "Know Before You Go Badge Printing" email from our Support Team.  

6) You must Login with Admin. Credentials to configure the Badges App on the Tablet 

  1. Tablets ship pre-logged into the Badges app.
  2. If login is needed: use your Results at Hand admin portal email + password. You can also use the support credentials provided in the shipment email.

7) When Adding or Updating a Badge, you must Refresh the Badges App

  1. Make edits in Admin Portal → Users and Teams
  2. Refresh the Badges app via the refresh button to sync changes.

8) Tablets must be powered off prior to Storing Tablets 

  1. Do not leave tablets on during storing (battery will drain overnight). Always power off.
    1. To power off, hold down the top button and volume "up" button at the same time (2 arrows in image below)

    2. Then, click on the "power" button in the middle of the screen.

9) Returning the Box: take a picture of items properly stored in the box when you receive the printers.

  1. Refer to the picture below and repack items exactly as shipped.
    1. Please do not discard any packing materials and ship back in the cardboard box.
    2. Be sure to include
      1. Printer
      2. Tablet
      3. Printer power cord
      4. Cable to connect printer to tablet
      5. Tablet power cord
      6. Stand
      7. Any extra badge rolls - not pictured.
  2. Use the prepaid return label. Can be found attached to your shipment email.
  3. Drop off at the UPS within 2 days after your last event day to avoid late fees.

10) You can adjust the Sound on the printer tablet.

  1. The Badges app supports sound notifications.  If in kiosk mode the attendee selects the help button, the device will chime so an administrator is notified to assist.  The chime will terminate without further action. 
  2. Enable by adjusting tablet volume.
